POSITION SUMMARY    

               

The Meeting  Administrator supports the activities of the Engagement Division by contributing technical, clerical and administrative assistance.

 

PRINCIPLE ACTIVITIES 

              

 1.         Initiates correspondence, telephone and personal contacts to  ensure the timeliness and quality of all meeting  speaker requirements relating to audio/visual equipment, handouts and biographies.  Also supports other pertinent activities including writing and producing speaker biographies, production of final meeting programs, and the production of  the post-meeting evaluations

2.         Coordinates post-meeting activities by processing a compiling responses and results from post-meeting evaluations, reconciling on-site registration information with Customer Service.

3.         Serves in-person as meeting assistant at local meetings.

4.         Serves as liaison with other departments in reference to Engagement Division information.

5.         Create polling slides and operate audience polling at conferences and other events.      

6.        Operate various video conferencing technologies for meetings held in TCB's conference center.   

7.         Other  duties as assigned.

 

REPORTING RELATIONSHIP       

 

Reports to the Manager, Meetings Operations, but may take assignments from department managers as approved by the  Director, Meeting Planning, Logistics and Support and the SVP, Engagement.

 

  DESIRED QUALIFICATIONS         

 

Bachelor's or Associate's degree. One to two years office

 

REQUIREMENTS      

                        

work experience.  Knowledge of Word, Excel and PowerPoint Ability to work with senior level executives. Ability to work on multiple projects and with minimal supervision. Excellent communication and interpersonal skills

Responsibilities: * Site selection and contract negotiation for all types of meetings, conferences, symposiums - both internal and external * Budgetary management, financial reconciliation and post-meeting reporting to identify cost-savings achieved. * Provide hands-on event project management for all program logistics, including attendee registration and data management, food and beverage selection, speaker liaison, Audio-Visual needs, offsite venues for assigned internal and external meetings. * Provide on-site meeting management - independently and as part of a team environment. * Collaborate with internal clients and business partners to offer strategic and creative solutions that align with business and event objectives. * Provide technical and analytical support on strategic meetings management projects. * Monitor travel and expense related policy compliance and recommend strategies to improve compliance.  Ensure company's travel policy is in line with best in class practices. * Keep current on key issues that may affect the company's travelers and communicate as necessary on these issues. * Draft and conduct Request for Proposals, Information or Quotation, vendor selection, negotiations, and contract execution with key travel suppliers (airlines, hotels, travel management company, etc.) on an ongoing basis. * Manage TMC, Airline, Hotel and Car Vendor contracts and relationships to evaluate the performance of current vendors and ensure all contractual targets are met.  Oversee operational issues, SLA's and vendor reporting systems.  * Benchmark, analyze, monitor and report on event and travel expenditures and compliance.  Provide actionable reporting around event and travel metrics to key business stakeholders. * Contribute to continuity planning and risk/crisis management on aspects related to both events and travel. * Ability to travel approx. 30%, including some weekends 

 

To qualify you'll need to 2-3 years experience and prior corporate travel experience (in some capacity) required.  Experience planning larger meetings featuring exhibits is preferred.  You must be familiar with meeting management software (ie Cvent) and have proven experience negotiating vendor contracts.  Experience handling all types of conferences/meetings is preferred as is a CMP Designation.  College degree preferred.

Summit Professional Networks is seeking an Event/Conference Marketing Manager. 

 

To be considered for this creative opportunity you MUST have at least 5-7 years of experience as a marketing manager of conferences and events in a media, events or publishing company (preferred).  You must be skilled at creating and executing event marketing plans and budgets and understand and apply ROMI (return on marketing investment).  You must be able to use creative copywriting to sell, cross-sell and up-sell new and existing clients (i.e, sponsors and attendees) within a portfolio of events. You will need multi-media experience - integrating email, mass media, direct mail, streaming media, podcasts, etc., or are excited to be involved in a marketing matrix environment. An understanding of segmentation, from value based to behavior based and experience in building and maintaining strategic partnerships and alliances are strongly preferred.

 

Background Preferences

* A background in business-to-business and/or direct-to-consumer conferences, events and tradeshows or exhibitions within a publishing organization (preferred) or event company

* Knowledgeable of social media and ability to build community through social media tools
* Experience in HTML and managing content on event websites
* Experienced in executing multi-media marketing campaigns

Attendee Marketing

* Develop key messaging objectives, communication strategies, and overall "theme" for each assigned event, including a positioning statement/message that addresses a market need
* Develop and maintain budgets and forecasts for assigned events
* Develop and maintain master strategy and tactical timeline of all key marketing tasks, activities, and deadlines and be responsible for making sure that deadlines are met
* Collaborate with creative team and Conference Programmer to establish the design direction for each event campaign, ensure that consistent design and messaging is carried through each piece, and oversee the production and delivery of all promotional pieces (print and online advertising, direct mail pieces, email promotions, event websites, press releases, television and radio ads, and all other appropriate vehicles)
* Oversee development and maintenance of assigned event websites
* Maintain tracking for measuring the success of all elements in the campaign and ensure that attendance and budget goals are achieved
* Work closely with local media outlets to pitch newsworthy happenings around the events
* Develop and manage all promotional collateral

Sales Marketing

* Develop and maintain a master timeline for promotion of sponsorship and exhibition opportunities for assigned events
* Collaborate with Conference Programmer and Sales Managers to establish the direction and USP for each event, ensure that messaging is carried through each communication piece and of all promotional messaging (print and online advertising, direct mail pieces, email promotions, event websites, all other appropriate vehicles.)
* In collaboration with the operations team, ensure that all marketing deliverables associated with sponsorships are fulfilled

Requirements

* Bachelors degree in related field
* Minimum of 5 or more years experience in conference, events and tradeshow and/or exhibition marketing in a conference or publishing company
* Good organization and communication skills with particular attention to detail
* Proficient in MS Word, Excel, PP, Adobe Photoshop, HTML authoring tools
