Full time position in a small, friendly, casual and very busy association management/event planning company in northern New Jersey.

We are looking for a motivated self-starter to join our team. Must be able to multitask, establish priorities, and work independently in an active office environment. Must possess a strong sense of responsibility and professionalism, self-confidence and poise and be detail oriented. Ability to work cooperatively with others is essential.

Duties will include:

* Support senior account executive in management of association client including:

*
Provide membership services and board support * Provide administrative meeting support e.g. event set-up, registration, preparation & packing of materials and reconciliation for various client events.
* Communicate regularly with clients both verbally and in writing.
* Communicate and manage deadlines.
* Provide onsite event support as needed.

*
Answer and field phone calls for all client accounts, assist other account executives when needed * Perform general administration duties for the office, e.g. order supplies, shipping assistance, etc.

Job Requirements:

Successful candidate must have:

* Proficient computer software skills including Microsoft Word, Excel, PowerPoint and Outlook. Comfortable with database and email platforms. 
* EXCELLENT customer service - heavy client contact through phone, email and onsite. Professional interaction with professionals on all levels.
* Excellent oral and written communication skills
* Ability and willingness to work, both independently and as part of a team
* Strong organizational, prioritizing and multi-tasking skills
* Ability to pay attention to details
* Flexibility and the ability to adapt to change in a dynamic environment
* Professional demeanor when interacting with fellow staff, clients and vendors
* Some event experience a plus
* College degree a plus

Salary range: $32,000 - $38,000

We are currently looking for an Event Specialist to join our team. The position is a virtual position, but candidates residing in the Central & East Coast time zones are preferred. 

 

Position Summary:  Coordinate, manage, and deliver successful and profitable events.

 

General Purpose:  Event Planning, client relations, strategic planning.

* Must coordinate and deliver profitable events
* Must analyze budgets to track spending against meeting specific forecasts
* Must build relationships with customers that foster long-term business partnerships

Position Responsibilities:

* Manage meetings & events in a heavily compliant Pharmaceutical environment, while  still creating a memorable, engaging experience for all attendees
* Create and manage invitation and attendee process including meeting registration, air travel, housing and ground transportation for domestic and international meetings
* Develop and implement Client event websites
* Create and manage project related websites and web based registration processes
* Direct accurate database management & reporting
* Serve as lead contact with housing, destination management companies and other vendors for delegate information
* Manage delegate requests and communications
* Manage onsite teams and associate planners
* Create effective and long-term relationships with clients and suppliers alike
* Produce accurate budges and manage client expenditure with a focus on cost saving and avoidance
* Travel 25%
* Other duties as assigned

  Essential Skills and Experience:

* Four-year College degree required
* Experience conducting business in an international setting

*
Minimum five years meeting/conference/congress planning experience in the Pharmaceutical arena * Excellent organizational skills as well as verbal and written communication skills
* Ability to work on multiple events simultaneously while retaining accuracy and team spirit
* MS Office (Word, Excel) proficiency
* Proficiency in CVent & StarCite

Valued but not Required Skills & Experience:

* Knowledge of Audio Visual requirements and Production
* CMP

Reporting to this Position:  This position will have no direct reports

Physical Demands and Work Environment:  This is primarily a sedentary office position which requires the ability to bend, stoop, reach, lift, move and carry materials and supplies weighing 25 lbs. or less. Required to operate motor vehicle.  The office noise level is moderate. Ability to travel approximately 25% of the time, including some weekends (note: a valid passport is required)
