Executive Director
Cora Hartshorn Arboretum- Short Hills, NJ (Greater New York City Area)

Job Description

The Executive Director (ED) is the Chief Operating Officer of Cora Hartshorn Arboretum and Bird Sanctuary (hereafter Arboretum) and will work with the Board of Trustees (hereafter Board)
and Executive Committee to manage all aspects of the Arboretum.
Specific duties include general management; financial management and budgeting; membership and
fund development; program development and management; communications; and woodlands and grounds management. The ED reports directly to the Executive Committee to implement the strategic goals of the Arboretum.
General Management
  • Direct staff of full time and part time employees including the Environmental Educator, Office Manager, teaching staff.
  • Supervise volunteers.
  • Administer and track staff compensation, benefits, scheduling, sick days and vacation time.
  • Conduct annual reviews and staff assessments and review results with the Executive Committee.
  • Manage staff and volunteer development and education, including grant writing opportunities, and assist staff with ad hoc projects as assigned.
  • Identify expertise and cultivate skills needed by staff to achieve the Arboretum's
    strategic goals.
  • Maintain a climate, which attracts, keeps, and motivates a diverse staff and volunteer base of top quality people.
  • Communicate to the Executive Committee all significant developments and attend meetings as
    required.
  • Ensure all organizational activities, recordkeeping and documentation are conducted in
    accordance with applicable federal, state and local codes, laws and regulations, performed in agreement with documented policies and procedures, completed within the constraints of the approved operating budget, and meet the standard of quality established by the Board.
Financial Management and Budgeting
  • Manage day-to-day spending against a budget.
  • In collaboration with the Board Treasurer, develop a working budget, prepare timely financial plans and reports for the Board, review and assess the Arboretum's financial model for its
    viability in light of anticipated program offerings, other funding sources, and resource needs.
  • Work with the Board to determine how to achieve the Arboretum's financial goals.
  • Identify areas of cost savings and implement initiatives to control spending, focusing on the concept of "reduce, reuse and recycle".
Membership and Fund Development
  • Identify, evaluate and implement actions to secure additional sources of funding.
  • Work with the Board to develop and implement a cohesive strategic plan to cultivate more varied and consistent revenue streams.
  • Increase membership and develop plan to track and sustain membership.
  • Identify grants available and spearhead grant applications.
  • Collaborate with Board to develop appropriate fundraising events.
Program Development and Management
  • Oversee and manage the expansion of the current program offerings to appeal to and include a wider constituency (e.g., varied ages, broader geographic reach, special needs).
  • Provide leadership in developing programmatic and organizational plans with the Board and staff and to carry out plans and policies authorized by the Board.
  • Work with staff and collaborate with the Board to identify and implement new programs, eco-trips, workshops, and classes as well as ways to improve existing programs to build revenues and expand membership consistent with the Arboretum's mission.
  • Initiate and coordinate strategic partnerships with other organizations and local governments.
Communications
  • Lead public relations and develop publicity protocols, with Board advisement, including press releases, key messaging and marketing materials, to ensure that activities and accomplishments are communicated consistently to the wider community using a variety
    of mediums.
  • Supervise regular development and updating of the Arboretum's website to include accurate content of the Arboretum's programs and activities, registration and donation information, and
    membership and volunteer opportunities.
  • Publicize the activities of the Arboretum, its programs and goals.
  • Represent the programs and point of view of the Arboretum to agencies, organizations, and the public.
Woodlands and Grounds Management
  • Work with the Board and the Town Forester to implement the existing long-term phased strategic plan for the woodlands restoration and oversee the implementation.
  • Manage day-to-day woodlands oversight, including inspection for down trees, deer fence security, and trail conditions, and delegate to staff and volunteers as necessary.
  • Work with staff and volunteers to supervise trail maintenance, removal of invasive species and reestablishment of native species.
  • Provide, or delegate to staff as necessary, building and grounds maintenance activities, including mowing, blowing, and sprinkler maintenance.

Desired Skills & Experience

Qualifications
All candidates should provide a cover letter outlining concrete examples of experience with the following qualifications:
  • Bachelor's degree required, with a master's degree in non-profit management, education
    administration, or business management preferred.
  • At least 3 years of senior management experience.
  • Proven record of effectively leading, managing and developing a non-profit organization, including staff and volunteers.
  • Commitment to the Arboretum's mission, quality programs and data-driven program evaluation.
  • Excellent organizational management with the ability to coach staff, manage and develop
    high-performance teams, set and achieve strategic objectives, and manage a budget.
  • Past success collaborating with a board of directors with the ability to cultivate board member relationships to achieve the Arboretum's strategic mission.
  • Strong marketing, public relations, fundraising (private and/or corporate), and grant writing experience with the ability to engage a wide range of stakeholders.
  • Strong written and verbal communication skills; a persuasive and passionate communicator with excellent interpersonal and multidisciplinary project skills.
  • Ability to work effectively in collaboration with diverse groups of people.
  • Computer literate in Microsoft Office suite. Experience with Donor Perfect a plus.
  • Flexibility to schedule some travel and attendance at various relevant evening and weekend
    meetings and events.
