PEI Media is seeking a Conference Program Manager to join our New York based conference team. Successful candidate will have a track record of both launching and overseeing repeat events; recruiting high-level speakers; managing a conference P&L; and developing relationships with senior executives in the private equity industry. As Conference Producer, you will be the driving intellectual force behind the events you produce, researching cutting-edge topics for conferences and assessing their commercial viability. You will be responsible for sourcing and inviting speakers, developing business plans for sales, marketing and logistics teams, advising on conference brochure and associated marketing materials and act as an ambassador for the events on the day of execution. Due to the complex nature of the role, successful candidates will need to have excellent academic credentials and a keen ability to spot trends in the marketplace and act quickly on opportunities. Prior experience either as a Conference Producer or in a role that offers transferable skills is preferable, as are powerful communication skills and the ability to think analytically. Ideal candidates will be energetic, enthusiastic, and quick learners who possess excellent multi-tasking and organizational abilities. Core Functions:

 

- Research, write, design, construct and produce financial conferences collaborating closely with senior-level executives from private equity firms, law firms, accounting firms, technology solutions providers, and institutional investors

- Represent company on regular travel assignments to various locations in the United States

- Research, organize and evaluate financial markets to determine topics for agenda construction and develop leads for speaker acquisition

- Establishing and maintaining relationships with key professionals, industry leaders, senior executives and media within relevant vertical markets

- Develop event strategies and launch new programs to meet changing business objectives of firm

- Liaise with meeting planning, accounting, marketing and public relations departments to determine elements of budgetary objectives on hotel/venue issues and to contribute thought-leadership on overall marketing initiatives

- Oversee events' financial performance and growth

- Write copy for conference brochures and other marketing materials communicating company's mission and event goals

- Cultivate business relationships through targeted networking at conferences and global business development trips

 

Desired Skills and  Experience:

  - Bachelor's degree required
- 2+ years' experience in conference production and/or finance role
- Excellent oral and written communications skills
- Excellent organization skills

- Ability to thinking analytically and apply inductive and deductive reasoning

- Strong negotiation skills
- Strong leadership potential

- Excellent presentation skills
- Proven track record of defining and executing key analyses with minimal supervision
- Demonstrated experience working in a team environment with experience communicating with senior managers

- Working knowledge of key trends in alternative asset investment strongly preferred

- Computer savvy

We are looking for someone who is detail oriented, able to multi-task and can communicate effectively.  The ideal candidate will have:

* 3-5 years program management experience within a medical communications company or medical advertising agency
* Familiarity with medical terminology and pharmaceutical products
* Knowledge of regulations and program implementation procedures
* Proficiency in Microsoft Office Suite
* Ability to travel

Job Description

 

Assist Vice President with a wide variety of meeting planning tasks for approximately 50 events annually.

* Manage events including, but not limited to planning, logistics, onsite execution, speaker and AV management.
* Manage all aspects of registration including: data entry, customer service, and on-site registration coordination.
* Manage hotel reservations and rooming lists
* Work with speakers to obtain bios, photos, presentations etc.
* Work with mailroom manager and IT to compile all materials for events.
* Coordinate with sponsors on logistical needs for their sponsorship.
* Manage and update conference website information.
* Manage post conference survey process.
* Work with team to analyze information for each event including registration and email marketing analysis.

 

Qualifications

 

We are looking for a driven individual with a knack for logistics. Someone with 2-3 years of meeting planning experience who wants to take their career to the next level. The ideal candidate is a team player who adapts easily to new situations, a self-starter who can work with little to no supervision to run a flawless event.

The Ideal candidate will:

 
* Have experience in meeting planning and managing events.
* Be able to travel to various event venues (out of town travel 15-25 times per year).
* Be able to lift & move boxes (approx. 30 lbs)
* Have a positive can - do attitude and the ability to communicate with diplomacy & tact.
* Have very strong excel skills and the ability to analyze and report on data.
* Have a knack for technology and learning new software quickly.
* Show initiative and be self-motivated and driven to succeed.  
* Be meticulous with details and possess stellar follow-up skills.
* Have excellent written and verbal communication skills.
* Be flexible and enjoy working with people.
