Position Description:
MHA-NYC is a not-for-profit organization in a period of unprecedented growth in response to increasing programmatic need and mission demands. Over the past several years the organization's budget has grown from $14m to close to $21m in budget size with corresponding increases in staff size and organizational complexity. Funding streams are more diverse and grants and contracts more complex though the organization continues to maintain financial stability primarily through city, state and federal funding.
 
MHA has a strong and experienced leadership team that is well positioned to consolidate the gains of the past few years and build upon them. The Administration Specialist will be a key member of the administrative team with diverse boundary-spanning responsibilities in two critical administrative areas.
 
Major roles will include:
               
Human Resources –
* Manage the established procedures for the hiring of staff – fingerprinting, processing of new hire paperwork
* Meet with new hires to assist in completing paperwork
* Manage the day-to-day processing of information into the HRIS system and to outside agencies
* Maintain files for all current and terminated employees
* Participate in various projects (such as recruiting process, policy design, etc.)
 
Finance
* Accounts payable and Purchase Order reconciliations
* Journal entries
* Assist in management of Purchase Orders and vendor payments
* Audit preparation
* Assist with Balance sheet account reconciliations
* Assist in the bank reconciliation
* Internal payroll and petty cash audits
* Collect data, generate reports and distribute to managers
 
Qualifications:
* Relevant bachelor's degree
* 3-5 five years experience
* Strong customer service focus
* Results-oriented with excellent attention to detail
* Ability to multi-task and to manage changing priorities
* Proven ability to work independently as well as within a team
* Experience with nonprofit accounting systems
* Proficiency in Microsoft Office Products
* Strong written and verbal skills

Job Function
The controller will be responsible for directing an organization's accounting functions. These functions include establishing and maintaining the organization's accounting principles, practices, procedures, and initiatives. Prepares financial reports and presents findings and recommendations to top management. Looks after day to day operations and gathers all the data and information and shares it with the manager makes financial forecasts based upon gathered data and also has to minimize risks. A controller supervises the accounting, auditing and budgeting staff. In their efforts to manage and improve fiscal results, they create financial reports, such as income statements, balance sheets or statements of cash flows. They study the data with a view to forecasting the financial position of the company or finding ways to improve operations.
Work Activities and Task:
Oversees the completion of internal control audits and facilitating changes to the controls when errors, or the potential for error or fraud is identified.
Monitoring and controlling cash flow
Developing and maintaining a company's financial policies and procedures. Develop internal control policies, guidelines, and procedures for activities such as budget administration, cash and credit management, and accounting.
Creating and completing financial reporting systems (daily/weekly/monthly/quarterly/annual)
Training personnel on interpreting financials and identifying root causes of any problematic areas, guiding implementation of corrective action, and monitoring results
Working with plant personnel in preparing the annual budget, along with weekly and monthly forecasts.
Reconcile and maintain accurate inventory records within the scope of the Plant Operations
Selection and maintenance of financial software-Quickbooks
Overseeing payroll and accounts receivable and payable
Completing audits and financial compliance activities
Monitoring debt/credit
Overseeing payroll and benefits
Managing any outsourced financial activities
Coordinate and direct the financial planning, budgeting, procurement, or investment activities of all or part of an organization.

Prepare or direct preparation of financial statements, business activity reports, financial position forecasts, annual budgets, and/or reports required by regulatory agencies.

Advise management on short-term and long-term financial objectives, policies, and actions.

Analyze the financial details of past, present, and expected operations in order to identify development opportunities and areas where improvement is needed.

Knowledge:
Bachelor's Degree in Accounting or Finance and Certified Public Accountant.

Certified Internal Auditor a plus.

Five years experience as a Plant Controller and at least two (2) years prior supervisory experience.

ERP Software and Microsoft Office Suites. Working knowledge of Quickbooks Accounting Software.

Knowledge accounting principles and practices, the financial markets, banking, and the analysis and reporting of financial data.

Production and Processing
Knowledge of inputs, outputs, raw materials, waste, quality control, costs, and techniques for maximizing the manufacture and distribution of goods.
