Job Title: Administrative Assistant - Executive

Job Description:
THIS WILL BE PART-TIME 20 HOURS A WEEK
 
Duties:Providing assistance and administrative support to DSR heads (2 people) and DSR members (3 people). In this position, the assistant will communicate with internal personnel from different areas which include senior management, within and beyond DSR units, external key opinion leaders, DSR internal and external business partners.The DSR assistant contributes to the development, organization and maintenance of the DSR documentation. Serves as a point person within the administrative process for the DSR groups and sites. Prepare business travel forecasts, and track business travel expenses.

Schedule, Arrange, organize DSR meetings and Team meetings
Maintain weekly itineraries for DSR members, handle telephone calls,
Arrange international meetings, travel itineraries, flight scheduling for internal personnel as well as invited guests.
Prioritize calendar with regard to various meetings and follow-up action items.
Perform general administrative duties to include but not limited to filing, faxing, copying, mail express. Ability to be of assistance as miscellaneous projects and situations arise.
Coordinate and schedule video conferences, web conferences and teleconferences.
- Work independently and manage specialized projects as appropriate

Prepare reports and presentations, support development of DSR and project presentations

Knowledge of Processes and Procedures, Keep abreast of current legal documents, i.e. confidentiality agreements and consulting agreements. Prepare expense tracking

Networking: Communicate with all levels within the organization, peers, Senior Management, consultants, experts in the pharmaceutical industry.

Organize DSR group activities. To include preparation of scientific manuscripts and presentations.

Maintain and update skills including attending training sessions for new policies and procedures as relates to administrative role in the department.

Skills:
Excellent written and verbal communication skills
Ability to format and coordinate presentations
Ability to organize and manage meetings, travel plans, invitations and administrative interaction with internal and external stakeholders

Ability to work independently, and maintain confidentiality and meet deadlines
Demonstrate diplomacy and flexibility , ability to develop strong network with other R&D assistants and demonstrate accountability
Ability to work in a fast-paced, rapidly changing environment
Excellent PC skills and ability to search and retrieve relevant information in internet and intranet system
Ability to learn and adopt new methods and new technologies

Education:
High school diploma with 5-7 years experience in executive assistant role, or 2 years post high school education and 2-3 years experience in an executive assistant role.

Position Title:

Director, Engineering

Position Summary

Under limited supervision, manage all aspects of Engineering; plans and directs the accomplishment of product engineering objectives. Provides technical guidance and ensures sound engineering procedures and effective use of facilities. Position drives and leads engineering activities and is responsible for providing strategic direction as well as guidance for systems and projects within the Engineering area.

Essential Functions

1. Plans and directs the work of the highly skilled engineering staff, placing particular emphasis on research and development to achieve product engineering objectives.
2. Confers with marketing/product development/sales departments to consider market potential for new products.
3. Develops new products from the beginning concept to testing and full production.
4. Organizes engineering staff to accomplish goals efficiently and authorizes recruitment of additional personnel as required.
5. Monitors progress of projects, confers with design engineers, and reviews reports to see that development is progressing according to schedule and within budgetary guidelines.
6. Reports to President and works closely with the director of manufacturing to establish long-range operating goals and expansion.

Minimum Requirements

1. Bachelor's degree in Engineering required; master's degree in engineering or business administration strongly preferred. International experience is strongly preferred in order to effectively work with our Chinese facilities.
2. Ten years' demonstrated experience in a mechanical engineering/product development role in a consumer products/manufacturing environment.
3. Must possess demonstrated management/leadership experience. Excellent verbal and written skills.
4. Candidate must have demonstrated proficiency in 3D Cad design software with a strong preference for Pro Engineer (Wildfire).
5. Excellent technical, conceptual, and financial skills.
6. Ability to motivate team efforts to accomplish goals.
